We are seeking a proactive and hands-on Office and HR Coordinator to take ownership of day-to-day office operations and administrative coordination for our Rotterdam office. This is a full-time, 12-month fixed-term role, working fully on-site, with responsibility for supporting office operations and administrative HR processes. The role includes regular travel to our London office (approximately once every three months).

Extension of the contract will be subject to business requirements and performance.

Key Responsibilities

  • Serve as the primary administrative point of contact for the London and Rotterdam offices
  • Own day-to-day office operations, including IT equipment, inventory, office supplies, and general office upkeep
  • Process invoices and support timely and accurate payments in coordination with Finance
  • Provide end-to-end employee travel coordination, including bookings, training arrangements, and travel-related queries (Navan)
  • Manage expense reporting, courier services, and mobile subscription administration
  • Prepare and coordinate visa applications and invitation letters for business travel
  • Plan, coordinate, and take ownership of internal team events and engagement initiatives, ensuring consistent execution across locations
  • Coordinate internal meetings and local office logistics
  • Coordinate conference and seminar registrations in collaboration with the Administrative Manager
  • Provide first-level IT support and act as liaison with the IT department as required
  • Coordinate vendor call-back verifications for the European region
  • Own the maintenance and accuracy of the regional SharePoint site, ensuring information is current and accessible
  • Provide administrative and coordination support to the HR team, including onboarding logistics, employee documentation, and people-related processes
  • Act as part of the regional HR & Admin Support Team, working closely on ongoing projects and ad hoc activities across multiple countries

Qualifications/Skills:

  • 5 years of experience in a similar role; HR exposure or interest is a plus
  • Strong organizational skills and ability to manage multiple priorities
  • Interest in supporting employee lifecycle and people-related processes
  • Detail-oriented, proactive, and service-minded working style
  • Comfortable working with digital tools (MS Office, SharePoint, booking or expense systems)
  • Discretion and professionalism when handling confidential information
  • Fluent in English and Dutch
  • Willingness to travel regularly to support regional offices
